Recording
A recording stores the data for one product order that has been executed, partially or completely, by an operator.
Each recording includes:
- The version of a work instruction that was used in the product order.
- The name of the operator who worked using that work instruction on a product order.
- The date and time of that work instruction’s execution, as well as the date and time for the execution of each instruction step.
- The time spent by the operator on that work instruction, as well as the time spent on each instruction step.
- The answers to all product checks on that work instruction.
Recordings support:
- Traceability: see which employees worked on a product order, what they did, and how long they took.
- Performance benchmarking: compare recordings over time to spot trends in plant and employee performance.
- Regulatory compliance: keep the batch records some industries, like food and beverage and pharmaceuticals, require.
See the list of recordings
You can see the list of recordings from two places:
- The module level
- The work instruction level
See the list of recordings on the module level
- Click Quality Management in the homepage sidebar.
- Click Quality Procedures.
- Click the Recordings tab.
- The type of each recording and its status.
- The work instruction for each recording, and its version.
- The execution date and time of each recording, and the name of the operator that executed it or will execute it.
- The report for each recording: the answer to each product check, the date and time of each instruction step’s execution, and the duration spent on each instruction step.
- The ⋮ (three-dot) icon, which lets an admin execute the work instruction, edit the recording’s dates, notes, and other details, delete the recording, or set its result (which also finishes the recording if it isn’t finished already).
- Click to search for a specific recording.
- Navigate between pages of the recording list.
See the list of recordings on the work instruction level
The work-instruction-level list only shows recordings linked to that specific work instruction.
- Navigate to the work instruction for which you want to see the list of recordings.
- Click the Recordings tab.
The list of recordings on the work instruction level will have the same interface as the one on the module level.
Search for a specific recording
Use Advanced search to find a recording by configuring search options, instead of scanning the list manually.
Access the advanced search feature
There are two ways to open Advanced search:
From the recordings list
Click Advanced search, as shown below:
From the search bar
- Click the search bar.
- Click Recordings.
Use the advanced search feature
Configure any of these search options, then click Search:
- Choose whether to include or exclude archived modules, folders, article categories, and work instructions.
- Optional: enter the name of the module, folder, article category, or work instruction that hosts the recording.
- Select which modules, folders, article categories, and work instructions to include or exclude.
- Search by product order number.
- Search by execution date or date range.
- Search by an operator’s answer to a product check.
- Filter by status.
- Click Search. Results appear below, with pagination to move between pages.
The different search parameters can be combined.
