What is exporting and importing a work instruction?
“Exporting” a work instruction means downloading it from your Azumuta workspace to your device. You can then “import” (upload) that file to another location: another folder, another module, or even another workspace.
In a nutshell, exporting and importing a work instruction is like copying a work instruction and pasting it into another location.
This is useful if you want to use a single work instruction in several places. You export it once, then import it wherever you need it, instead of creating the same instruction multiple times.
Requirements
- The feature must be enabled by Azumuta. It is not on by default. Contact support@azumuta.com to have it switched on. To move a work instruction between workspaces, it must be enabled on both the source and the destination workspace. Without it, the only export you'll see is the XLSX export, which can't be imported.
- You need the right to import. In the destination workspace, you need the import library items user right (under Explore). Viewing the import history is a separate right. See User rights: the Explore tab.
Why an import can be blocked
An exported file doesn't contain everything the work instruction refers to. When you import it, Azumuta looks for those items in the destination workspace by name, in any language. If an item is missing or can't be matched clearly, the import is blocked. The preview before the import lists a warning for each problem, telling you what to create first.
Create these in the destination workspace before you import, with the same names as in the source workspace:
- Flows (issue boards)
- Peripheral groups
- Resource categories
- Properties, with identical choices
- Visual page types
An import is also blocked when a name only partly matches (for example, a different translation of the same name) or when more than one item has that name.
Azumuta creates these automatically during the import, so you don't need to prepare them:
- Images, videos, and files
- Variants
- Resources
Once the import is done, Azumuta keeps a record of where the work instruction came from: the source work instruction ID, the version, the original name, the file name, and who imported it and when.
